Executive Assistant

Full-Time | Salary: $37,500–$40,000

Reports to: Deputy Executive Director

About the Role

The Executive Assistant supports the YWCA Syracuse & Onondaga County leadership team with administrative, financial, and operational tasks. This role ensures smooth contract and grant management, bookkeeping support, and day-to-day organizational operations.

Key Responsibilities

  • Support leadership with contracts, grants, reports, and vouchering

  • Assist with bookkeeping tasks, including journal entries in QuickBooks and accounts receivable

  • Manage deposits, reimbursements, and vendor/customer records

  • Provide administrative support for youth programs, soccer initiatives, and domestic violence support services

  • Coordinate agendas, attend staff meetings, and manage scheduling for vans and facility needs

  • Oversee purchasing of supplies and food for programs cost-effectively

  • Organize donation management, building operations, and security/facility logistics

  • Assist with special events, sponsorships, and development efforts

  • Provide onboarding support to new staff and help manage seasonal camps

Qualifications

  • Associate degree in business, public administration, social sciences, or related field; or 5+ years of administrative/office management experience in nonprofit or corporate settings

  • Strong organizational and communication skills

  • Experience with bookkeeping/accounting software (QuickBooks preferred)

  • Valid NYS driver’s license
